Office Administrator

(Singapore - Centre)

Responsibilities:
- This position involves responsibilities across a broad range of areas, including reception, administrative assistance, office management, finance, and sales operations, including:
- Receiving visitors
- Answering phone lines, screen and transferring calls
- Sorting and distributing mail, signing for and distributing packages
- Making travel arrangements and preparing expense reports
- Providing administrative support to managers, and support as needed for project-based work
- Scheduling and coordinating meetings and conference calls
- Arranging occasional lunch deliveries for staff meetings
- Maintaining appearance of lobby, conference rooms, and break room
- Provisioning and stocking the break room with drinks and snacks
- Assisting with new hire setup, including workspace setup, building access credentials, etc.
- Contacting building management regarding maintenance and repair requests
- Ordering and maintaining stock of office supplies
- Processing of vendor invoices and employee expense reports
- Consolidating daily sales orders and ensuring their timely submission to order entry staff
- Liaising with order entry staff to ensure orders are well-formed and booked on a timely basis
- Routing inbound general queries to the proper departments (sales, service, or support)

Requirements:
- Ability to multi-task, work independently, and maintain composure in a busy environment
- Professional demeanor with excellent English communication skills (written and verbal)
- Ability to prioritize and manage time to meet deadlines and expectations
- Proficiency with Microsoft Windows, Word, Excel, PowerPoint, and Outlook
- Strong organizational, communication, and problem solving skills
- Enthusiasm when taking on new projects and responsibilities
- Discretion; must maintain confidentiality when handling sensitive information
- Must be eager to learn and willing to take on new challenges
- Candidate must possess at least a Higher secondary/Pre-U/A level/College in any field.
- Required skill(s): Administration and organisation skills.
- At least 2 year(s) of working experience in the related field is required for this position.
- Applicants should be Singaporean citizens or hold relevant residence status.
- Preferably Junior Executives specializing in Clerical/Administrative Support or equivalent.
- Full-Time position available.
